Job Purpose

The Tender Supervisor is responsible for leading and overseeing all tender-related activities to ensure timely, compliant, and successful participation in healthcare procurement processes. This role plays a key part in driving operational excellence, maintaining regulatory compliance, and supporting the company's business growth objectives.

Key Responsibilities

Tender Operations Management

  • Manage and supervise the overall activities of the Tender Department to ensure achievement of assigned objectives and performance targets.
  • Lead the planning, coordination, and execution of tender activities to maximize tender success rates.
  • Monitor tender timelines and ensure all submissions are completed accurately and on schedule.

Process Governance & Compliance

  • Develop, implement, and continuously improve tender processes, policies, and standard operating procedures.
  • Ensure all tender activities comply with applicable laws, regulations, decrees, circulars, and company policies.
  • Stay updated on changes in healthcare procurement regulations and provide guidance for effective implementation.

Tender System & Data Management

  • Manage and maintain the Tender Web system, ensuring timely, accurate, and complete updates of tender-related information.
  • Ensure the integrity and accuracy of tender data and documentation.

Strategic Planning & Budget Control

  • Contribute to the development of departmental strategies and operational plans aligned with company objectives.
  • Develop, monitor, and control departmental budgets and operating expenses.
  • Manage allocated resources effectively to optimize operational performance and productivity.

Reporting & Stakeholder Collaboration

  • Prepare and submit regular and ad-hoc reports as required by principals and direct management.
  • Collaborate closely with internal stakeholders to ensure smooth execution of tender-related activities.
  • Support the implementation of company policies, procedures, and initiatives related to tender operations.

Team Leadership

  • Lead, coach, and develop team members to enhance capabilities and performance.
  • Foster a positive and collaborative working environment that encourages accountability, continuous improvement, and professional growth.
  • Perform other duties as assigned by the Direct Manager.

Requirements

Education

  • Bachelor's degree in Pharmacy, Business Administration, Healthcare Management, or other relevant disciplines.

Experience

  • Minimum 3 years of experience in a similar supervisory role.
  • Experience in pharmaceutical tenders and/or medical devices procurement is highly preferred.

Skills & Competencies

  • Strong knowledge of healthcare tender processes and procurement regulations.
  • Good leadership, communication, stakeholder management, and problem-solving skills.
  • Strong organizational skills with high attention to detail and accuracy.
  • Professional, proactive, and able to work effectively under pressure.
  • Good command of English and proficiency in relevant business software and systems.
